Privacy Policy

Peace! We care about your privacy. This policy follows the notice requirements of Article 8 of Taiwan’s Personal Data Protection Act and the basic principles of the EU GDPR. In plain words, it explains what we collect, why, how we keep it safe, and what rights you have.

1. Who is responsible

This website is operated by The Church in Taipei for the 2027 International Chinese-speaking Blending Conference. We are the controller of your personal data.

2. Why we collect data

  • Conference registration and roster management
  • Hospitality, lodging and transportation arrangements
  • Church visitation schedules
  • Reconciling offering remittances
  • Contacting registration coordinators
  • Support replies and follow-up
  • Publishing testimonies (with your consent)

3. What we collect

  • Coordinator account data: name, email, church and locality, country, and a phone number if you choose to give one.
  • Attendee rosters uploaded by coordinators: name, gender, age, family code, country, phone and email (if any), church, whether they join the pre- or post-conference visitation, arrival and departure airport, terminal, flight, date and time, and remarks.
  • Remittance records: amount, date, payer name, reference notes and any proof-of-payment image you upload.
  • Support data: questions and attachments you send through the chat, message form or email, and our replies.
  • Testimonies: your name, email, church, text, and any images or video link you submit.
  • Technical data: an IP address used to limit abuse (we keep only a salted hash, never the raw address) and cookies needed to keep you signed in. If Google Analytics is enabled on the site, anonymous usage statistics are also collected.

4. Coordinators’ responsibility

Before uploading attendee data, coordinators must tell attendees what this policy says and obtain their consent. For minors, please obtain consent from a parent or legal guardian.

5. How long we keep it

  • General data: used until the conference work is completed.
  • Registration and roster data: deleted or anonymized within 6 months after the conference (by August 31, 2027).
  • Support chat: we do not store the content of conversations. We log only content-free statistics (reply type, usage, errors), kept for 180 days.
  • Support tickets and emails: kept for 1 year after they are closed; open tickets are kept until resolved. Attachments are automatically purged after 400 days.
  • Abuse-prevention counters: kept for 2 days.
  • Testimonies: once approved they stay published until the author asks for removal.

6. Where it goes and who sees it

  • Data is stored on Amazon Web Services (AWS) servers.
  • Email is sent through Mailgun; our staff mailbox uses Google Workspace.
  • Replies in Online Support are generated automatically by Anthropic’s Claude language model. Before a message is sent, emails, phone numbers, passport numbers and flight numbers are masked. We do not store the conversation content.
  • Data is shared only with the conference serving ones who need it (for example the hospitality, transportation and visitation teams), and only for the purposes above.
  • We never sell your data and never use it for marketing or advertising.

7. Your rights

Under Article 3 of Taiwan’s Personal Data Protection Act, you may ask us to:

  • Look up or review your data
  • Provide a copy
  • Add to or correct it
  • Stop collecting, processing or using it
  • Delete it

8. How to use your rights

Email [email protected] with your name and church and we will reply as soon as we can. Coordinators can also edit their roster directly in their account.

9. If you choose not to provide data

Without the information needed for registration, hospitality and transportation, we may not be able to complete your registration or arrange hospitality. Optional fields do not affect your rights.

10. Security

  • The whole site uses encrypted HTTPS.
  • Access is limited by role; only the serving ones who need it can see the data.
  • Uploaded files are kept in private storage, not publicly accessible.
  • Passwords are stored as hashes; we cannot see your original password.

11. Cookies

When you sign in, the site sets one essential cookie to keep you signed in; it is cleared when you sign out. Support chat is kept only in your browser tab and disappears when you close it.

If Google Analytics is enabled, it uses cookies to collect anonymous usage statistics so we can understand how the site is used. You can block cookies in your browser settings.

12. Changes to this policy

If we change this policy we will post it on this page and update the date. For significant changes we will also notify registration coordinators.
